What You’ll Be Doing

The Work Management Automation Analyst position is responsible for creating and managing workflows, and generating reports within the Smartsheet, or other appropriate work management platforms, to support various Percepta departments that are engaged in the execution of program deliverables. Reporting will be used by internal and external stakeholders. This includes the production of both automated workflow reporting in addition to bespoke reporting upon request while seeking continuous process improvements. The Work Management Automation Analyst will play a crucial role in optimizing project management and workflow processes, ensuring efficiency, accuracy, and alignment with organizational objectives. This position offers the opportunity to work closely with various teams to understand their needs and translate them into effective work management solutions.

During a Typical Day, You’ll

  • Collaborate with stakeholders to gather requirements and translate them into functional work management solutions.

  • Develop customized templates, forms, and dashboards to streamline workflow management.

  • Implement automation features and integrations to enhance process efficiency and data accuracy.

  • Create and configure workflows to support various business processes and project requirements.

  • Maintain and update existing workflows and configurations based on evolving business needs.

  • Generate and distribute reports and analytics to provide insights into project performance, resource utilization, and workflow efficiency.

  • Provide training and support to end-users on work management platform functionality, best practices, and troubleshooting techniques.

  • Stay updated on the latest Smartsheet or other work management platform features and capabilities and recommend enhancements to optimize platform usage.

  • Serve as the primary point of contact for work management inquiries, issues, and escalations.

  • Collect, prioritize, and respond to all requests for GPMO and L&D instructional design data from internal and external clients.

  • Review all existing data and make suggestions about additional data to be collected and shared.

  • Utilize existing database systems to perform queries and generate reports. Make suggestions on new tools and systems to better manage data.

  • Complete reporting in a timely fashion, exercising established controls for regular approval, publishing, and distribution.

  • Analyze data to identify patterns, trends, or irregularities and discuss findings with appropriate Management.

  • Identify and/or support continuous process improvement activities.

  • Seek out opportunities to automate, improve the efficiency and accuracy of data.

  • Take on special projects that leverage your strengths and support tactical or strategic business needs.

What You Bring to the Role

  • 3 years’ experience as a Smartsheet Administrator or similar role, with a strong understanding of Smartsheet functionality and capabilities.

  • Proficiency in creating and configuring workflows, forms, templates, and dashboards within Smartsheet or other work management platforms.

  • Experience with automation features, integrations, and reporting functionalities.

A Bit More About Your Role

  • Working knowledge of Learning Management Systems, MS Excel. Advanced skills in Smartsheet or other work management platforms, required.

  • Highly numerate with superior analytical & data manipulation skills.

  • Strong attention to detail with a premium on accuracy

  • Good communication skills – both written and oral.

  • Excellent organizational skills and flexibility to change priorities as necessary.

  • Must be a team-player but be equally comfortable taking direction or working off own initiative.

  • Strong analytical and problem-solving skills, with the ability to translate business requirements into actionable solutions.

  • Excellent communication and interpersonal skills, with the ability to collaborate effectively with cross-functional teams.
